Earth Day: The Legacy We’re Building

Earth day is more than a date on the calendar; it’s a reminder of who we are building for. At Keeley, our work leaves a mark. Long after projects are completed and teams move on, what we build remains. But beyond structures and space, we are also shaping something less viable: the world future generations will inherit.

It’s easy to focus on deadlines, deliverables, and the day-to-day demands of our work, but Earth Day challenges us to zoom out; to think about the children who grow up in the communities we build, the resources we use today, and the long-term impact of the choices we make right now. Because the truth is, sustainability isn’t just about being “green” its about being responsible stewards of the future.

That means every decision matters. How we use waste, materials, how we protect the environment around our job sites. These choices ripple forward, influencing the quality of life for people we may never meet.

The construction industry has a unique opportunity, and responsibility, to lead by example. Thoughtful planning and sustainable practices can lower environmental impact, improve long-term building performance, and create healthier spaces for communities. Every decision we make today helps shape the communities of tomorrow.

You don’t have to be on a job site to make a difference. This Earth Day try to find one thing to change, whether that is turning off lights and electronics when not in use, reducing your paper waste in the office, or bringing a reusable water bottle or coffee cup. When we all do a little, it adds up.

Years from now, future generations won’t see the schedules we met or the emails we sent. They will experience the outcomes of choices we made. That’s the legacy we are creating – together. This Earth Day let’s think beyond today. Let’s build with the future in mind.

Glove Recycling Program

           Purpose

Keeley Construction is committed to improving safety, sustainability, and operational efficiency across all projects and facilities. The Closed Loop PPE Recycling Program provides a structured process to collect, clean, inspect, and reuse certain PPE items rather than immediately disposing of them.

Through this program, PPE items are collected, transported to a recycling partner, laundered, inspected for quality, and returned for reuse when appropriate. The goal is to reduce waste, extend the life of PPE, and support Keeley’s sustainability initiatives.

The program supplements existing PPE purchasing practices and does not replace the need to maintain adequate PPE inventory on site.

           Scope

           This policy applies to:

Keeley Construction offices and job sites participating in the PPE recycling program

Team members and supervisors responsible for PPE usage

Safety and operations personnel overseeing jobsite compliance

Facilities participating in PPE collection and distribution

The program currently includes PPE types such as:

These items are collected, sorted, cleaned, inspected, and paired for reuse when possible.

           Program Overview

The PPE recycling process consists of three primary steps:

           1. Collection

Used PPE is deposited into designated 55-gallon collection drums located at approved facilities or job sites. These drums are labeled and provided as part of the recycling program.

Only approved PPE items may be placed in these containers.

           2. Processing and Laundering

Collected PPE is transported to the recycling partner’s facility where items are:

            Sorted and evaluated

Laundered and sanitized according to manufacturer guidelines

Metal detected and inspected for quality control

Items that meet safety and quality standards are prepared for redistribution. Items that fail inspection are removed and documented as scrap.

           3. Return and Reporting

Clean PPE is returned to Keeley facilities along with processing reports documenting:

            PPE items recovered

            Scrap quantities

            Sustainability metrics

These reports help track waste reduction and provide visibility into PPE lifecycle management.

           Safety and Compliance Requirements

To maintain compliance with the recycling service agreement:

Only non-hazardous PPE may be placed in collection containers.

PPE contaminated with hazardous materials, regulated chemicals, or biohazards is strictly prohibited.

Any excluded materials remain the responsibility of the facility generating the waste.

Team members must follow all OSHA and company safety procedures when handling used PPE.

           Site Responsibilities

Each participating site is responsible for:

            Maintaining proper PPE inventory levels

Ensuring only approved items enter recycling containers

Keeping collection areas organized and accessible

Coordinating collection schedules with the recycling provider

            Supporting program tracking and reporting

This program is intended to reduce PPE replacement costs and waste, but it does not eliminate the need to purchase new PPE when items are damaged or unsafe.

           Sustainability Impact

By participating in the PPE recycling program, Keeley facilities can:

Idle Time: Small Habits, Big Impact

           Let’s talk about idle time.

In January, Keeley drivers logged more than 720,000 miles. That’s a lot of movement, a lot of work getting done, and a lot of progress being made on our jobs.

But our scorecard also showed something worth paying attention to: our company-wide average idle rate is 30.6%.

That means almost one-third of the time our engines are on, they’re not actually moving us forward.

No one leaves a vehicle running on purpose to waste fuel. It usually happens in small moments — waiting on a load, sitting through a delay, warming up longer than needed, or just getting distracted.

But those small moments add up.

Across our groups, we’re seeing idle rates range from 20% all the way into the 40% range. That tells us something important: this isn’t about equipment; it’s about habits. Some teams are already proving that lower idle time is possible.

And this isn’t just about “being green”.

When we let engines idle longer than necessary, it impacts:

            Fuel costs on our jobs

Wear and tear on our trucks and equipment

Air quality on and around our jobsites

The overall efficiency of how we operate

It’s not dramatic. It’s just real.

Idle time is one of those things that quietly reflects how tight we run our jobs. When crews are communicating well, when staging is coordinated, and when drivers and operators are thinking ahead, idle time naturally drops. It’s a byproduct of being dialed in.

The good news? Fixing it doesn’t require new technology or big changes. It starts with awareness.

Simple things make a difference — like shutting down during extended waits, avoiding unnecessary warm-up time, and talking through load timing so trucks aren’t sitting.

No one expects perfection. But even a few percentage points of improvement across Keeley would mean real fuel savings and fewer unnecessary emissions across hundreds of thousands of miles.

Next time you’re sitting in a running vehicle, ask yourself: Do I need this on right now?

One decision doesn’t change much. But hundreds of those decisions do.

That’s how culture shifts happen. That’s KeeleyGreen.

It is the general policy of Keeley to act with honesty and integrity when accounting for surplus and scrap materials. At no time shall materials be willfully and purposely recycled. Scrap materials are the property of the client or the company and should be treated as such.

            2.1	– Time & Material Projects

On a Time & Material (T&M) project the client owns all scrap materials when the materials have been originally purchased by them. In this case it is the client’s sole responsibility to collect (or provide a collection receptacle), transport, and collect any applicable compensation.

Should the Client turn the scrap materials over to Keeley a written notice of this action is required before taking ownership of the materials. In this case, please refer to section 2.2.

            2.2	– Lump Sum Projects

On a lump sum project where the original construction materials are purchased by the company, Keeley owns all of the scrap materials that may arise. In this case care shall be taken to collect all scrap materials throughout the construction process. The items shall then be transported to a recycling facility that will pay out the compensation in form of a check. This check shall be made payable to Keeley Construction. This check shall then be promptly mailed to the Ewing Keeley office.

Please send the scrap compensation checks in the US Mail or via UPS to the following address. After mailing the check please follow up with an email to jridler@keeleyconstruction.com with any tracking information and to let him know to be on the lookout.

5 Green Habits to Start This Year (That Are Actually Doable)

Let’s be honest, going “fully green” overnight isn’t realistic for most of us. That’s okay. Sustainability isn’t about perfection. Small, consistent changes can make a real impact, especially when they are habits you’ll stick with. Here are a few simple ways to be more eco-friendly without overhauling your life.

            1. Cut back on single use items

This one is low effort, but high impact. Keep reusable water bottles, coffee mug, or a set of utensils on hand. Fewer disposables equal less waste in landfills.

            2. Be intentional with energy use

Turning off the lights when you leave a room, or unplugging chargers when your not using them seems like minor usage, but these add up. Open the blinds instead of flipping the switch, your plants will thank you.

            3. Choose digital when you can

Opt for digital documents, invoices, and notes instead of printed ones. When printing is necessary, use double-sided printing. It’s a simple way to reduce paper waste, especially in an office environment.

            4. Support sustainable choices (when possible)

You don’t have to buy all “green” everything. Just be more mindful. Choose durable products over disposable ones, and support companies that prioritize sustainability when it makes sense for you.

            5. Talk about it

One of the most overlooked green habits is conversation. Sharing tips, tricks, and wins with others helps normalize eco-conscious choices and encourages others to try them.

Sustainability is about progress, not perfection. Start with one or two habits that feel manageable and build from there. Remember, real change takes time.

GCPay Rollout

Get Ready for the Q4 Rollout of GCPay!

For those of you who haven’t heard yet, we are rolling out a new platform, GCPay, to help us manage lien waivers and subcontractor pay applications. GCPay will integrate seamlessly with CMiC to streamline workflows for our Finance & Accounting team, as well as improve processes for project teams as it relates to subcontractor bills & communication. Take a look at the information below so you are fully informed about how the GCPay rollout will impact you!

           Upcoming Training Sessions

The Operational Finance team, Procurement group, and key individuals within each business unit have already started receiving GCPay training. We are hosting additional training sessions over the first few weeks of October to ensure project teams have all the info they need to begin reviewing pay apps in GCPay by mid-October. We’ll also host Open Office Hours-style sessions leading up to the first subcontractor bills being due October 25th.

Team members should attend one of the below mandatory training sessions.

Click the session to download the calendar invite:

What is GCPay and How Will it Work?

GCPay comes with a variety of benefits, but it will ultimately serve two primary purposes for us – (1) reduce workload for Accounting significantly by automating the management of lien waivers, increasing the speed of other accounting processes and (2) improve the communication & approval/rejection process of subcontractor pay apps for project teams and subcontractors.

Subcontractors will submit pay apps through GCPay against approved SOVs and Change Orders – preventing overbillings from subs. Project teams will review pay apps and approve or reject directly through GCPay where subs can see the status – reducing the constant back & forth throughout the process. GCPay will automatically generate lien waivers and enforce a signature as a requirement for pay app submission – eliminating the chase & hassle that comes with lien waivers.

The Impact on Keeley'ns & Subcontractors

Not only will Keeley’ns be using GCPay to review subcontractor pay applications, but subs will also be using GCPay to submit their pay apps. Subcontractors will need to create accounts, learn the system, and begin submitting their pay apps using GCPay before the October 25th billing deadline. Beginning next week, we will be sending corporate communications to subcontractors with instructions & details regarding this change. We will also be sharing resources internally so that you can help us communicate with your partners – as your personal message will be critical to gaining their buy-in and onboarding them

100 Days in CMiC

We’ve officially been live in CMiC for over 100 days! While we know these first few months have come with challenges and plenty of learning, it’s important to take a moment to celebrate progress. Our Keeley’ns are making strides, and we’re excited to highlight some of the wins that are already making a difference!

           Improved Processes through CMiC

Time entry is quicker and easier, with mobile access making it especially helpful for our field teams. Having one platform across departments creates consistency and continuity. There was a steep learning curve that came with frustration, but as Keeley’ns have learned the system we have received lots of positive feedback!

Check runs are faster and can handle larger volumes than ever before.

From an Operations perspective, AP coding has been working smoothly, specifically the ability for detailed tracking throughout the process, helping teams stay accurate and efficient.

From an Accounting standpoint, we’ve recently made updates to the AP process to increase speed & efficiency (workflow changes, CMiC enhancements, and more).

Job setup is streamlined — no more duplicate data entry! Plus, the Salesforce integration has now been turned on which will further improve this process.

Subcontract and PO workflows now include full audit histories, giving us visibility into the history and status of the subcontract or PO.

Change order management through CMiC allows for more accurate forecasting and better project tracking.

The Redlist and Fieldpoint integrations have gone live, both pulling time entered in those systems into CMiC for much easier payroll processing.

Reports & Data Easier than ever through CMiC

Teams have easier access to the data they need, supporting smarter, faster decisions.

Custom dashboards allow Keeley’ns to organize information in the way that works best for them.

Job cost drill-down reports & queries provide visibility into spending trends for reference and the opportunity to identify cost savings.

Reduced syncing issues between systems mean fewer headaches and smoother workflows.

Financial reporting is customizable, so anyone from AP to Project Managers can see exactly what matters most to them.

           Other Wins & Improvements

Custom security settings keep data safe while allowing flexibility where it’s needed and our CMiC & IT teams continue learning more about security to make it work better for us.

Training resources through CMiC continue to help Keeley’ns build confidence and learn as we go – with many more training materials to be delivered by the end of the year!

There are so many more updates, enhancements, and process improvements that have come to life over the last 100 days since going live with CMiC. All of these wins are a testament to the hard work, patience, and collaboration of Keeley’ns across all teams. Thank you for embracing the challenges, supporting each other, and helping us get stronger every day. We’ll continue sharing wins as we grow with CMiC — and together, we’ll keep making progress!

Salesforce + CMiC Integration Details

This integration will share opportunity and account information between CMiC and Salesforce. Once an opportunity is created or updated in Salesforce, all relevant opportunity and account information will be automatically passed to CMiC. Updates to opportunities in CMiC will also be automatically passed to Salesforce. Once a job number is created in CMiC, it will be sent back to Salesforce automatically. It is important to note, however, that opportunities created in CMiC will not be passed to Salesforce, so

all opportunities must be created in Salesforce

           .

           How the integration works:

When an opportunity in Salesforce reaches the Proposal stage or beyond, its data is automatically synced to CMiC.

Data from Salesforce to CMiC will be synced every 10 minutes at the :01 mark – ex: 11:01, 11:11, 11:21, etc.

Data from CMiC to Salesforce will be synced every 5 minutes on the :00 & :05 marks – ex: 11:00, 11:05, 11:10, etc.

            The following fields

will sync between the two systems:

           Important Note:

If an opportunity comes over from Salesforce to CMiC and the customer does not exist in CMiC as an Organization – then the customer will show as “New Organization”. If that is the case, then the customer either doesn't exist in CMiC or the Salesforce Account is not linked to an existing CMiC customer. First, search for the customer in the lookup for assigning the organizing. If the customer does not exist in that list, then the customer will need to be set up by Accounting. Please reach out to Sean Fleming for support.

AP Process Changes

The transition to CMiC has uncovered some challenges to our AP processes for project and accounting teams. Over the past 90 days, we’ve been working through these challenges to improve the speed & efficiency of our process. See below for some highlights of these major changes & improvements.

New Commitment Policy for Purchases over $25K

           As of August 1

    <sup>

           st

    </sup>

, Project Accountants have been rejecting any invoices over $50,000 that lack a valid commitment. As of September 1

    <sup>

           st

    </sup>

, this threshold will drop to $25,000. This means that commitments will be REQUIRED for all purchases over $25,000. This is a critical change aimed at enforcing procurement discipline and improving visibility over large expenditures.

Workflow Adjustment for Invoices Less than $2,500

Invoices under $2,500 are now being routed to the PM only for approval and the Project Accountant is no longer part of the workflow. Approximately 70% of our invoices fall below this threshold, so this change is expected to significantly reduce the volume of approvals and streamline processing for small-dollar invoices. As a PM, please exercise extra discipline in the approval process since you are the last set of eyes on the invoice before it gets paid!

           Ability to Change/Reassign Invoices

Users in operations have the ability to change the job number in the flysheet (header) in Image Manager within CMiC. This means less invoices should be returned to data entry and should result in a quicker turnaround on invoice processing and approval. Users in operations can also reassign invoices to others, rather than needing to reject them back to AP to be redirected. Additional training on this process is taking place in each of the business units. If you miss that training, please reach out to the Operational Finance Team (formerly Project Controls & Project Accounting) within your business unit for support.

           Importance of Quality Rejection Notes

Users in operations will now be asked to categorize their rejections to clear up confusion and streamline the AP process. The three buckets in which you can categorize your rejection are DO NOT PAY, DATA ENTRY, and VENDOR ISSUE. Providing productive comments when rejecting invoices is extremely helpful in getting the invoice corrected or reassigned. If you have any questions regarding how to reject invoices or leave comments, please reach out to the Operational Finance Team (formerly Project Controls & Project Accounting) within your business unit for support.

The construction industry is undergoing a transformation. As the global demand for renewable energy grows and infrastructure becomes more environmentally accountable,

Solar 101: How It Works on a Larger Scale

Solar farms, also known as photovoltaic (PV) power stations, use large-scale arrays of solar panels to generate electricity. Unlike rooftop systems, solar farms are designed for grid-level energy production, often covering acres of land with thousands of interconnected panels.

           Here’s how it works:

            Solar Panels:

Mounted on ground-fixed or tracking systems, these capture solar energy efficiently across large areas.

            Inverters and Transformers:

These convert the DC output from the panels into AC power suitable for grid transmission.

            Grid Integration:

Power from solar farms is fed into utility grids or microgrids, providing energy to thousands of homes, industries, and facilities.

            Energy Storage Systems (ESS):

Battery solutions allow excess energy to be stored and released when demand peaks or sunlight is low.

           Why It’s Worth the Investment

            Scalable Power Production:

Solar farms can generate anywhere from a few megawatts to hundreds, supplying clean energy on a massive scale.

            Long-Term ROI:

Though upfront costs can be high, operational expenses are minimal, with low maintenance and zero fuel costs.

            Regulatory and Tax Incentives:

Governments continue to back utility-scale renewables with grants, incentives, and favorable zoning policies.

            Land Optimization:

Our User Experience, Accounting, People Operations, Project Controls, and CMiC teams continue to work hard to get the initial CMiC integrations across the finish line as quickly as possible. The integrations are incredibly complex, and the UX has battled through numerous challenges to get these integrations up and running. Please see below for some important updates regarding the integrations that are currently underway – including what those integrations will entail once complete. If you have specific questions regarding integrations or how they impact you, please reach out to the Project Controls team within your business unit.

Good news – the Concur integration is officially up and running! Keeley’ns should be able to once again access to Concur to code & approve expenses. The integration between Concur and CMiC will ensure job numbers and cost codes in Concur match the information in CMiC for accurate coding. The integration runs nightly, so if a job, cost code, or category is set up, it will be available the next day. The Project Controls team will set up any cost codes that are missing on the appropriate jobs in CMiC. Please code and approve all expenses in Concur ASAP to help us in getting caught up from the extended dark period!

As of next Thursday, June 19, we will be rolling out SSO to all CMiC users. This means that the login credentials you created to log into CMiC will be overridden by your Microsoft 365 SSO login (the same username & password as your other Keeley accounts). All users will receive an email the morning of the launch with further instructions for signing into CMiC using SSO.

As some may know, the Salesforce integration was launched last week – but after experiencing some issues with data moving from CMiC into Salesforce, the integration was shut off until the issue is resolved. The Salesforce integration with CMiC will share opportunity information between the two systems – meaning an opportunity created in Salesforce will be shared to CMiC. It will also share job information (such as job number) that is updated in CMiC to Salesforce once a job is initiated. The current integration will NOT transfer opportunities that are created in CMiC into Salesforce. The preferred place to create opportunities is Salesforce, and any new opportunities that are created in CMiC will not appear in Salesforce. Stay tuned for any additional info you need to know regarding the Salesforce integration as it is (re)launched.

           UKG

           Anticipated Rollout: Mid-July

The integration between UKG and CMiC is quite intense… Many functions being completed in UKG need to be automatically pushed into CMiC – employee creation, direct deposit updates, tax information, etc. This integration does just that! Currently, this information is being shared through manual data entry. This integration will be a major step forward for our Payroll, People Operations, and IT teams!

Redlist

           Anticipated Rollout: Late June-Early July

Redlist is used to track equipment information as well as time entry for the Fleet team to charge time to trucks and equipment. The integration between CMiC and Redlist will ensure that all job information is correct in Redlist, and that all equipment information is correct in CMiC. It will also automatically share the time entry data from Redlist to CMiC for Payroll processing.

           Fieldpoint

           Anticipated Rollout: Mid-Late June

The Paving group uses Fieldpoint for work order management and time entry within the national/maintenance teams. This integration will push time entry data from Fieldpoint into CMiC as well as employee data from CMiC into Fieldpoint. It will also send work order information from Fieldpoint to create jobs in CMiC. The only remaining piece of this integration that is not yet complete is the automatic transfer of time entry data from Fieldpoint into CMiC – which is expected mid-late June.

           Friday, May 30th |

The CMiC team has officially gotten POs working in the system!

The Accounting team also worked hard yesterday to push through roughly 1,000 invoices into users’ queues! However, any PO invoices entered yesterday were not able to be tied to a PO due to the issues we were previously experiencing. There are roughly another 3,000 invoices remaining to be entered and assigned to users. With the PO issue fixed, these 3,000 should now be able to be entered into the system properly.

           WHAT THIS MEANS FOR USERS:

There will be some PO invoices in your queue in CMiC (the ones entered yesterday) that will need to be coded & approved following the temporary process put in place on Wednesday – code the invoice and enter the PO number as a comment on the invoice. This process will ensure the Accounting team can properly tie that invoice to the PO on the back-end. If your PO invoice comes over without any automatic coding, this is the process you will follow.

For any PO invoices entered beginning today, the invoice should already be automatically coded according to the PO.

For these invoices, you’ll just check for accuracy and then approve. For additional training resources regarding how to code & approve invoices, visit the Keeley’n Hub.

           Wednesday May 28th |

, CMiC is still not working as intended as it relates to quantities on PO invoices. This has resulted in a delay in getting PO invoices uploaded into CMiC and into users’ queues – which impacts both AP and T&M billings. In order to get vendors & partners paid in a timely manner (according to our terms & contracts), as well as get T&M bills out as soon as possible, we are going to move forward with uploading PO invoices into CMiC without tying them directly to a PO – essentially turning them into Misc invoices.

           WHAT THIS MEANS FOR USERS:

There will be a slight temporary change to our process. Effective immediately, all PO invoices should be treated as Misc invoices. We are working diligently to get CMiC working properly and begin the normal process ASAP, but in the interim users should follow the same coding & approval process for PO invoices as you do for Misc invoices – with the additional step of adding the PO number as a comment on the invoice.

As of Wednesday evening May 28th, users will start seeing more invoices hit your queues to code and approve. Over the next week, please make sure you are coding & approving invoices as quickly as possible while we get caught up on AP & AR in CMiC. You can follow the below steps to complete this.

Your first step is to code the invoice appropriately – this will be the case whether your invoice is for a PO or not.

If your invoice IS for a PO – you should enter the associated PO number as a comment on the invoice.

Once coded and the PO number entered in the comments, you can approve your invoice.

If you have any questions or need direct support on AP coding & approval, please contact the Project Controls team via your CMiC Teams Chats, or the Project Accountants for your Business Unit.

We appreciate your patience and flexibility as we ensure we are continuing to take care of our people and our partners throughout this massive change.

Concur Is Currently Unavailable

Until the integration between CMiC and Concur is fully up and running, Keeley’ns should continue to not use Concur.

While Concur is unavailable, please do not code or submit any expenses.

Once the integration is ready, Keeley’ns will be submitting April and May expenses together in the same report as we get caught up from the blackout period. We expect the integration to be ready by the end of the month.

Once in Concur, you’ll note that the coding has been changed to now match CMiC:

There is no longer an ‘Extra’ field.

Work orders will now be added to the Job #.

Equipment numbers will have an extra “0” (ex: TK-400 is now TK-0400).

Please continue to stay out of Concur until you receive the green light that the integration is up and running and that the system is ready for use. You can reach out to the Accounting Team with any questions.

Pay Stub Format Updates

           (UPDATED ON 5/23 AT 12pm)

We value the helpful feedback many Keeley’ns have provided so far regarding CMiC – including about the new pay stub format. Our Payroll team has worked hard to make adjustments to the initial format to provide Keeley’ns with the information they are looking for on their pay stubs.

Currently live, Keeley’ns will see a new pay stub format when viewing pay stubs in UKG. Please see below for a sample of this new format.

The following changes were made to address team members’ feedback:

Added more detail regarding the deductions and fringe benefits.

Added more detail regarding the earnings & benefits.

Cleaned up the format as much as possible to make it slightly easier to understand.

The following change is still being worked on to roll out soon:

Adding the pay rate for any team members earning overscale wages. (The amount and YTD total are included, but do not currently show the hourly overscale rate.)

New Missed Time Process

There is a NEW PROCESS for entering missed time now that we are using CMiC.

Because everyone is now entering time directly into the same system where Payroll is processing the time, the Payroll team will be “closing payroll” following the Wednesday deadline each week so that they can process the payroll.

Any time not approved prior to the closure will be deleted in order to process payroll.

The payroll period will then be opened back up on Friday AND Monday mornings from 7:30a – 10:30a CDT for you to submit any missed time from the period.

For issues entering missed time on Friday mornings during this period, please follow the same escalation process as regular time entry:

We are in the process of creating additional CMiC training materials. These training resources will eventually consist of robust LMS courses, long-form onboarding videos, quick aid collateral covering various topics, short & simple walkthrough videos, and other helpful materials. In the meantime, please refer to the CMiC manual (step-by-step guides), training session recordings, and current video inventory for help as needed. Of course, the Project Controls team and our CMiC experts in each business unit would be happy to help as well – including for 1:1 training as needed. We appreciate your patience as we build out these additional resources!

It is important that everyone understand what next week looks like as end-users officially start logging into CMiC for the first time. Please see below for a checklist of when and what you can do and need to do in CMiC next week.

           Monday, May 12

Log into CMiC for the first time! You’ll need to verify your ability to log in and update your personal login credentials (SSO will not be set up at Go-Live). Be on the lookout Monday morning for all these instructions!

Create your ‘Crew’ in the ConstructCT (Crew Time) module and begin entering time for the 5/7 – 5/13 pay period. Time entry is the only function you should be using in CMiC on Monday, May 12.

           Tuesday, May 13

Turn in all your time from the 5/7 – 5/13 pay period in CMiC. Monday and Tuesday are your time to get help, access training resources, or troubleshoot any problems as time is officially due to be submitted and approved by 5pm on Tuesday.

Time entry is the only function you should be using in CMiC on Tuesday, May 13.

           Wednesday, May 14

Once your time is submitted by 5pm on Tuesday, it’s time to start coding & approving invoices in your queue! There are over 2,000 invoices from the blackout period that will be assigned to user’s queues before Wednesday, May 14 – and we need your prompt attention to catch up on these invoices as soon as possible!

If you aren’t someone who enters or approves time, then Wednesday is the first time to you'll need to access the system to start coding & approving invoices for the first time.

           Thursday, May 14 & Friday, May 15

Once you’ve checked time entry and invoice approval off your list, then you're ready to start the new 'business as usual' in CMiC!

Over the course of Thursday & Friday, you should be checking to ensure your jobs are set up properly – from POs & subcontracts to change orders & key players to budgets & more. This is your opportunity to check out all the data that came over from Sage and begin working with the Project Controls and Project Accounting teams to ensure everything looks correct.

Payroll Changes in CMiC

As we begin using CMiC to process Payroll for Keeley’ns across all companies, it is important that everyone understand some changes that you might notice on your paycheck.

Pay stubs will look slightly different through CMiC than they do today. In some situations, this may mean there is slightly less detail on your pay stub than what is currently included. Rest assured – all required info will continue to be there including net pay, vacation, annuity, health & welfare, tax withholdings, etc.

The net pay may be slightly different than today, due to differences in how CMiC calculates payroll taxes. CMiC has a more sophisticated process for calculating taxes and withholdings than our current systems – this could result in your net (take-home) pay being slightly different than what you are used to seeing.

If you do not live in the same state where you work, you may see more noticeable changes in your net pay. This is because CMiC has a better understanding of resident and work tax laws, and accounts for both home AND work location when calculating your taxes.

As an example… Texas does not have state income tax, so under our current process, team members working in Texas who live in Missouri are not having Missouri state income tax withheld. Moving forward, CMiC will withhold income tax in your home state (if your home state requires it).

If you live and work in the same state, you should notice very minimal to no change in your net pay.

PRIDE Spotlights: Ron Roellig and Keeley Civil Infrastructure

At Keeley, we are driven by our mission and core values and these core values guide every decision. Each value has its own meaning for everyone, but this common ground allows us to come together and foster a culture of support, safety, well-being, and family. We sat down with Ron Roellig, Executive Vice President of Civil, to discuss our core values and how he sees them lived out every day amongst his team.

            PEOPLE

          – Don Recar exemplifies People in the way he goes above and beyond for his team members. When he saw a team member personally struggling, he put business aside and showed empathy by reaching out and connecting him with those that could help and provide the proper resources. This team member even expressed gratitude about how Keeley (and Don) goes above and beyond for Keeley’ns.

            RESPECT

          – At August’s Civil STP, the entire Civil Day Two team had open and honest dialogue while still showing respect to each other when asking tough questions and challenging each other. This was the first STP with new leadership in place and it was collaborative, open-minded day. Everyone provided strategic, constructive criticism which only allows for growth. If we fail to give constructive criticism, we are failing our team members and ourselves. Throughout the day, everyone listened intently and respected opinions and differing perspectives. Everyone left with clear APs, excitement for what’s to come, and a renewed energy. After the STP, we had a record-breaking month of August and I truly believe this STP set the tone for this new chapter of Keeley Civil.

            INTEGRITY

          – Jason Forney and the team at the Coffeen Solar Farm were facing adversity with a team member who experienced an injury on the project. Jason followed Keeley’s protocol and immediately got the team member the care he needed. However, our client indicated that we had not followed their protocol for notification. Jason, as the Keeley onsite Supervisor, owned the failure and committed to improvement moving forward doing Whatever It Takes for Safety.

            DISCIPLINE

          – The Estimating Team had been feeling extreme pressure in the first and second quarters of 2024 to find and secure new projects after experiencing a slow third and fourth quarter for bidding in 2023. They dealt with this pressure phenomenally and didn’t let bid declines get them down. The team stayed disciplined and continued to put forth their best effort. By remaining steadfast and avoiding panic buying, they have set up a successful path for the end of 2024 into 2025. Because of their hard work, we have a record-breaking year of backlog going into 2025!

            EMPOWERMENT

          – Our first example of Empowerment is Tim Eagan. Tim and his entire solar farm project teams developed solid work plans outlining personnel, equipment, and strategy for exemplary execution of work on multiple solar farm projects, including additional opportunities with a new client. They have achieved tremendous success in this market and we now have more resources on these jobs than any other project. This focus on growth in the solar farm market allows us to gain more experience and bid more work across the nation. Our second example of Empowerment is John Stackpole. With very little guidance or oversight, John continues to execute and deliver impactful results, thus opening up doors for emerging markets and new clients. What he has done for Civil Infrastructure by kicking down doors, fostering meaningful conversations, and attacking opportunities with an open mind is invaluable. He always goes above and beyond for our team, is quick to get in front of clients, and quick to resolve issues.

            PRIDE

          – Earlier this year, Devon Swan was asked to take over a difficult project in Emporia, KS that had fallen behind schedule and budget. Without hesitation, Devon accepted the challenges and went on the road. Facing a monumental task, Devon took over the project and implemented important changes regarding the direction of the project and the mindset of the client. Devon led his team and ultimately recovered almost three weeks of schedule delays while still keeping the team safe during extended days and weeks – working seven days a week and sometimes 14-16 hour days. Grueling schedules such as this can cause fatigue and stress, but Devon prioritize safety and kept every single team member safe.

We are proud of every single member of the Keeley Civil Infrastructure team for living out our core values and exceeding expectations!

Here at Keeley, when we think of the word leadership, it is synonymous with Mike Rupinski. Since joining the Keeley family in 1997, his leadership has never wavered. His strong presence, wisdom, and insightful perspectives have helped our company to grow more than we ever thought possible. There is no one better suited to lead the largest software implementation Keeley has ever undergone and bring CMiC to Keeley Companies.

Mike earned his Mechanical Engineering Degree from Northeastern University and upon graduating, he joined Monsanto as a Business Unit Leader. After a successful journey at Monsanto, Mike joined Keeley Construction in 1997 as a project manager focused on civil and industrial projects. He led Keeley Construction in various roles up to President & COO, helping grow the business from a family-owned Paving company to a full-service construction company with four diverse business groups. Under Mike’s leadership, Keeley Construction’s revenue grew from $12M to $75M. In 2014, Mike moved to ADB Companies to launch ZeroDay Technology Solutions. He led ZeroDay’s operations across the nation while also managing all internal IT efforts across ADB and Keeley. When the COVID-19 pandemic struck in 2020, the Keeley team created an internal task force to keep our team members across the nation safe and informed. Mike stepped up to lead this effort, leading daily task force meetings, hosting daily company-wide briefings, and serving as a trusted advisor to Keeley leadership as everyone navigated the incredibly challenging situation. In 2021, Mike made his return to Keeley Companies from ADB as the Vice President of Legal, Risk, and IT. Mike was recently promoted to Chief Risk Officer where he leads and oversees IT, Cybersecurity, Legal, Risk Management, Project Controls, DOT Compliance, Claims, and Change Management. Mike also serves on the Keeley Companies Advisory Board and is the Executive Sponsor and Key Leader of the CMiC implementation.

“The implementation of a true ERP system like CMiC is vital to Keeley’s future growth. This system provides the opportunity to standardize processes & workflows across our business groups and significantly improve our financial reporting capabilities and accounting processes. CMiC is a major upgrade over current systems – increasing efficiency & streamlining processes that will cut down on manual work or duplication of efforts. Replacing current systems with more secure, cloud-based, and scalable solutions improves overall business continuity & resilience – which is incredibly important as Keeley continues to grow. CMiC is simply the SMARTER solution for our future.”

As we put together our CMiC Core Team, we recognized the importance of selecting members with a wide range of skills and experiences, knowing that CMiC will impact team members in every department and business unit across the company. Seth Knight, Director of Project Controls, is a key member of the team, responsible for helping guide our operational groups through the implementation process and leading decision-making on new processes, standards, and workflows.

Seth graduated with his Bachelor’s Degree in Civil Engineering in 2010 and began his construction career full-time at the Illinois Department of Transportation as an Engineer Tech. He then transitioned to White Construction where he served as a Project Engineer, assisting in project management for the construction of wind farms, providing support to superintendents and subcontractors with scheduling & production. He also helped with maintaining cost control, document control, change orders, earned value, production, forecast, and billings for assigned projects. In 2015, Seth joined the Keeley family as a Project Manager, working on projects across Missouri and Illinois. He was quickly promoted to Project Controls Manager where he developed a project controls program for the Civil Group. He revamped & managed the job cost review to bring enhanced information to leadership, instituted the MFR process to create visibility into the risk in major projects, and developed & managed a procurement process to reduce risk in subcontracted work and purchasing. He also implemented a new cost code format for better cost control & production tracking, and managed the forecast, business unit scorecard, and opportunities to drive accountability. After serving in this role for four years, Seth was promoted to his current position as Director of Project Controls. Seth and the Project Controls team within each business unit are focused on standardizing processes across the company, maintaining accountability in operational financial reporting & forecasting, leading analytics around KPI development & reporting, driving risk awareness in operations, and providing expertise in applying our business processes to software tool selection and implementation.

In developing our CMiC Core Team, we knew that we needed team members from a variety of roles and backgrounds. The implementation of CMiC will bring an improved software system with many benefits to our Keeley’ns. However, as with any new software, there will be new challenges and learning curves. Tom Rojas, IT Director, is bringing his technological expertise to the team to help guide Keeley though this transition as seamlessly as possible without interrupting processes and operations.

Tom began his IT career with 12 years at CenturyLink where he eventually managed a team of engineers in the financial technology space, specifically targeting international stock market data transfer. In 2019, Tom joined the team at Interface Systems where he served as the Network Operations Center (NOC) Director. For three years, he led several teams responsible for managing the network infrastructure of 1,500 clients across 34,000 retail and restaurant locations. In January 2023, Tom transitioned to Keeley Companies where he now serves as IT Director. In his role, Tom oversees the entire Information Technology Department, ensuring the seamless operation and strategic direction of IT initiatives. He manages three key IT Departments: IT Operations, IT User Experience, and IT PMO.

As IT Director, Tom plays a key role in the implementation of CMiC companywide. Tom and his team are responsible for data backups & transfers, management of the users & environments in CMiC, updates & scheduled downtime to the system, and a variety of other key functions. Additionally, Tom’s team is vital to creating integrations between CMiC and other internal software platforms such as UKG, Fieldpoint, Salesforce, estimating software, and more.

“From a technology perspective, CMiC will bring several significant benefits to Keeley Companies in the future. By integrating various functions into a single platform, CMiC will enhance operational efficiency and data accuracy, reducing the complexity of managing multiple systems. The transition from Sage 300 to a managed and assembled infrastructure will ensure that our hardware and data are safely backed up and resilient against system-related failures. This setup will also reduce the burden on our internal IT resources, allowing us to focus on more strategic initiatives. Additionally, CMiC’s improved integration capabilities will streamline workflow by consolidating the tasks of multiple applications, eliminating the need to switch between different tools to complete tasks.”

When it comes to a major implementation like CMiC, it is important to put the right team together to manage the project. Ryan Killoren, IT Project Manager, brings IT and Project Management expertise to the team, helping bridge the gap between implementation partners, Keeley’ns, and the Core Team while keep the project on track and moving towards the April 1, 2025 Go-Live date.

Ryan graduated from Missouri State University in 2018 with a Bachelor’s degree in Marketing/Marketing Management. Upon graduation, he began his career at KForce Technology in IT Staffing & Managed Services. At KForce, Ryan managed 20+ client relationships and was heavily involved in bringing on IT contractors to complete a variety of projects across a wide range of industries, including software and infrastructure. After two years at KForce, Ryan joined ADB Companies providing Project & Logistics support to ADB’s technology division. In this role, he managed company resources and materials on public & private sector projects around the globe, created project plans & schedules to set goals and track project progress, and documented, forecasted, and managed project financials from project kickoff to closeout. In June 2023, Ryan made the leap to Keeley where he has worked in Project Coordination & Management. As IT Project Manager, Ryan has managed multiple software related implementations from project kickoff to Go-Live. Since joining the Keeley family, Ryan has been involved in the “Big 3” software projects since Day One – UKG, Fieldpoint, and CMiC. Ryan also earned his Certified Associate in Project Management designation in 2022.

Ryan’s experience in the UKG rollout and leadership of the Fieldpoint rollout are both vital to the successful implementation of CMiC. As the Project Manager on the CMiC rollout, Ryan is essential to keep the project on track. He coordinates with multiple implementation partners as well as internal team members to keep the project moving forward, collect action items, facilitate important discussions, and follow-up on the ever-growing list of APs to ensure a successful project delivered on time.

“With the integration process of connecting CMiC to our other systems, CMiC provides the ability for our office and field teams to work even closer together. Not only will CMiC talk to other systems like UKG & Fieldpoint, but it will also replace some in the process. Pairing that with the improved efficiency CMiC offers to its end users is going to be a game changer for Keeley as a whole.”
